LethaldiranMX Insight
Albertoit Client Management for Coaches offers a highly secure, self-contained CRM solution built directly into the WordPress admin dashboard, specifically tailored for independent coaches and clinical practitioners who prioritize absolute data sovereignty. By bypassing the standard WordPress post architecture in favor of dedicated custom database tables, the plugin ensures that sensitive client records, session notes, and payment histories remain completely isolated from public-facing queries. This architectural choice, combined with strict capability-based access control and blocked REST endpoints, provides an exceptionally robust privacy posture for professionals handling confidential client interactions. It effectively eliminates the need for expensive, third-party SaaS platforms while keeping all operational data under the site owner’s direct control.
Best Fit & Operational Role: This plugin is an ideal fit for solo coaching practices, private clinics, and consultants operating within the WordPress ecosystem who require a lightweight, zero-subscription client management system. It functions as a secure back-office portal, allowing administrators to track session locations, manage mirrored client relationships, and log payments in EUR and EGP without mixing currencies. Because it does not generate public-facing pages, shortcodes, or open API endpoints, it integrates seamlessly into existing sites without risking front-end performance or exposing client data. It is best suited for operators who already maintain strong site-level security protocols—such as HTTPS, strict user roles, and regular backups—and want a streamlined, localized administrative workflow.
Potential Limitations & Pitfalls: From an operational standpoint, the reliance on custom database tables means standard WordPress backup plugins must be verified to ensure they back up non-standard tables, and default WordPress search tools will not index this data, which is intentional for privacy but requires administrative awareness. Additionally, because the plugin blocks REST endpoints containing “lifecocl” and restricts access strictly to the manage_lifecocl_clients capability, integration with external automation tools or external invoicing software is virtually non-existent without custom development. While the local database storage ensures complete data sovereignty, site owners bear the entire burden of database optimization, security, and compliance, as no cloud-based fail-safes or external encryption layers are provided out of the box.

Permissions
On activation, the plugin grants the manage_lifecocl_clients capability to administrator users.
Only users with this capability can access the Clients admin area.
Privacy
The plugin does not create public-facing client profiles, shortcodes, public REST endpoints, or public post types. Client data remains in custom database tables and is accessible through the protected WordPress Admin interface.
Important
This plugin is designed for private coaching records. Site owners should still use HTTPS, strong administrator passwords, appropriate WordPress roles, regular backups, and a privacy policy appropriate to their jurisdiction and use of personal data.

Language
English is the default. The plugin is prepared for WordPress localization so a future Arabic translation can follow the site’s WordPress language rather than requiring a separate plugin build.
Mobile use
The WordPress Admin interface is responsive and can be opened on an iPhone. For regular use, the recommended approach is to create a dedicated WordPress user with the manage_lifecocl_clients capability and add the Clients admin URL to the iPhone Home Screen. A later version can add a dedicated installable PWA-style Coach Portal while keeping WordPress login/security. Avoid passwordless shared links for client data because they reduce account-level security.
Update behavior
The plugin keeps the same WordPress plugin slug/folder name (albertoit-client-management-coaches) and uses an incremented plugin version so uploading a newer ZIP is recognized as an update rather than a separate plugin. Existing client data is migrated from the legacy 1.6.4 table/option names to the prefixed 1.6.6 names during the update and is preserved.
Version 1.4.0 financial workflow:
– Each client can have an individual default session price and currency.
– Every new coaching record automatically creates a linked Session Charge in Payment History.
– Session date can be today or any future date.
– Fund / Top Up lets you prepay an amount and specify the number of sessions. Example: 50 for 5 sessions gives an allocation of 10 per session.
– A coaching record can select an available Fund / Top Up and automatically deduct the session charge from it.
– Payment History separates money received/funded from session charges used, and EUR/EGP totals remain separate.
– Empty money fields are treated as 0.00 instead of being required.
Version 1.4.0 improvements:
– Coaching Records include Payment Method and Payment Note fields, automatically linked to the session’s Payment History entry.
– Payment History entries can be edited for Payment Method and Note without changing the amount, date, currency, or transaction type.
– Payment History is displayed immediately after the financial totals; Funds / Top Ups are shown below it.
– Future coaching session dates remain supported.
– Available Fund Balance is shown separately from historical Received / Funded totals so prepaid money is not mistaken for money still available.
– Fund / Top Up usage updates the fund’s remaining amount and remaining session count automatically.
– The plugin slug/folder and main plugin filename remain stable: albertoit-client-management-coaches/life-coach-clients.php.
Version 1.6.1 business model
The Free plugin is intended to remain useful on its own and is suitable for personal use and submission to WordPress.org. Premium functionality can be offered separately as a Pro add-on/plugin or service, rather than locking existing Free functionality behind a license key.
Support
An optional donation link is available only inside the plugin’s private WordPress Admin area.
